HJF Lease & Renovation Services

HJF provides a full complement of lease and renovation services for Foundation programs.

Leases

HJF leases laboratory, clinical and office space in a variety of locations, including Bethesda, Frederick, Rockville and Silver Spring, Maryland; Marina Del Rey, California; and Centurion, South Africa.

We work with programs to understand the specific needs and requirements of each project. Our services include identifying a leasing agent to locate appropriate available space; negotiating the lease with the landlord or real estate broker/agent; ensuring that the leased space fit-out meets the program's needs within the appropriate budget; and working with site managers and landlords to resolve facility issues.

Our Lease and Renovation Contract Manager (LRCM) is our point of contact for all lease issues. The LRCM coordinates all activities with the project's contract or grants specialist to ensure that the lease is allowable and the budget is reasonable. The LRCM also coordinates among other HJF departments, as well as program managers, to ensure that the process runs as smoothly as possible.

If your program needs to lease space, call our LRCM at 240-453-8861. They will set up a time to meet with you to discuss your needs, including whether you have a preferred location, your timeline, your budget and other key information.

The LRCM has several resources at their discretion. HJF has a network of real estate contacts, including landlords and property managers who specialize in various types of real estate, from laboratory and clinical to office space.

Our LRCM will be available to assist you with any space issues throughout the life of your lease, including arranging to have your water, electricity and other utilities turned on, and helping to resolve repair or other landlord issues.

Renovations

Leasing new space often requires renovating that space to outfit it for your specific needs. Managing renovation projects well requires a certain level of experience and expertise. We've successfully managed a full range of renovation projects at medical and other leased facilities in a variety of locations. We put this experience to work for you, acting as a liaison between you and the architect and contractor, keeping you actively involved and informed.

HJF does not charge an indirect rate (facilities and administrative costs) on renovation project costs.

Recent renovations include 9,800 square feet of clinical and office space at WRAMC for the CADRe program. Currently, we are in the midst of renovating 8,200 square feet of lab, clinical and office space at WRAMC for the Gynecological Disease Program. We've also conducted a number of successful renovation projects for the U.S. Military HIV Research Program, including work on their vaccine clinic research center, vaccine repository and laboratory, GMP storage room and HDL lab.

Our Lease and Renovation Contract Manager (LRCM) is your HJF point of contact for all renovation issues. The LRCM coordinates with the project's contract or grants specialist to ensure that costs are allowable and budgets are reasonable. The LRCM also coordinates among other HJF departments, as well as program managers, to ensure that the process runs as smoothly as possible. Our LRCM ushers all renovation projects through to completion, ensuring the satisfaction of all concerned.

Contractor Network

We have a network of reliable general contractors experienced in conducting both large and small laboratory, clinical and office renovations. Our contractors also are familiar with the complexities of conducting renovations at military facilities.

The LRCM will act as your advocate throughout the renovation process, attending progress meetings, monitoring contractor performance and assisting with furniture and equipment selection and coordinating its purchase, delivery and installation.

Once the work is complete, our LRCM will manage the site inspection and landlord approval. The LRCM and architect will create a punch list of outstanding items and will work with the contractor to resolve any remaining issues. Once the project is complete, the LRCM will close out the contract and verify that all invoices have been paid.
