How do I transfer employees to a new project?

To transfer an employee to a new project, submit a Request for Personnel Action form (HJF #220) indicating Reassignment/Transfer. Provide the number for the project the employee is moving from, as well as the number for the employee's new project. The completed form should be submitted to the human resources generalist for your project.

How do I increase my employee's salary?

To increase the salary for an employee submit a Request for Personnel Action form (HJF #220) indicating the current and new salary for the employee receiving the increase. Along with the form, supply a justification for the increase as documentation.

What happens when an employee resigns from HJF?

When an employee resigns from HJF, submit a Request for Personnel Action form (HJF #220) and a copy of the employee's resignation letter, if appropriate, to the Human Resources Department. The Request for Personnel Action form should include the last day worked and the reason for the resignation.

What forms are required to hire an applicant?

An Applicant Interview form (HJF #238) and a position description are required to be completed and submitted to HR prior to hiring.

How do I open a position?

Create a position using eRecruit. Through electronic approval routing, the Budget Office will review the requisition to ensure the availability of funds in the project budget to support the position. To assist the Budget Office in processing the request quickly, please indicate that it is a “replacement,” as well as the employee’s name.

Where do I find the recruitment forms?

Click on Forms, Human Resources, to find all forms associated with recruitment.

How long must a position be open before I can hire an applicant?

Open positions are required to be posted for five days (including weekends) before an offer can be made. This is in compliance with HJF’s Affirmative Action Plan.

How long does it take for HR to generate an applicant's offer packet?

An offer packet generally takes 24–48 hours to be generated and sent to the applicant via FedEx.

What is the process to advertise an open position online, or in a newspaper or other publication?

To place an online or print advertisement, send an e-mail to the Recruiting Coordinator, indicating that you would like an ad to be placed. Be sure to include the cost center number to which the cost should be charged. You may create your own advertisement, or the Recruiting Coordinator is available to assist you with the text of your ad.

Can my email address be listed in the advertisement?

In order to comply with EEO guidelines, all ads must have the same address to which applicants can apply. For this reason, the email address listed in advertisements is careers@hjf.org.
